What you'll accomplish
By the end of this guide, you'll have ChatGPT configured with your role-specific context — so every conversation automatically knows you're a patient access rep, what payers you work with, and what kind of output you need. No more re-explaining who you are every time you open a new chat.
What you'll need
Log into chatgpt.com. Click your profile icon or initials in the bottom-left corner of the screen.
What you should see: Two large text input areas labeled "What would you like ChatGPT to know about you?" and "How would you like ChatGPT to respond?"
In the first field ("What would you like ChatGPT to know about you?"), describe your role and context. Copy and customize this example:
I'm a patient access representative at a [type of hospital, e.g., large academic medical center / community hospital / multi-specialty outpatient clinic]. I register patients, verify insurance eligibility, collect copays, obtain prior authorizations, and explain patient financial responsibility.
Common payers I work with: [list your top 5-8 payers, e.g., "Medicare, Medicaid, Aetna, Blue Cross Blue Shield, United Healthcare, Cigna, Humana"].
EHR we use: [e.g., Epic / Cerner / Meditech].
I often need help with: writing appeal letters for denied prior authorizations, translating payer policy language into plain English, drafting patient financial communications, and creating de-escalation scripts for difficult patient interactions.
Customize the bracketed sections with your actual details.
In the second field ("How would you like ChatGPT to respond?"), tell ChatGPT how to format its answers for your work:
Always use plain language I can read to a patient or use directly in a letter.
For payer policy questions: Give me a direct yes or no on whether prior auth is required, then the specific policy language that supports it.
For letter drafts: Use formal business letter format, ready to customize with specific names and reference numbers.
For patient communication scripts: Keep language at a 6th-grade reading level. No jargon.
For de-escalation: Give me 4-5 specific phrases I can say out loud, not general advice.
Keep responses concise. I'm usually at a busy registration desk.
Click "Save" at the bottom of the panel. These instructions will now apply to every new ChatGPT conversation automatically.
What you should see: The settings panel closes and you're back to the main chat interface.
Start a new chat and type: "I need help with a prior auth denial for an outpatient MRI."
Notice that ChatGPT already knows your role and context — it asks for the specific denial reason and payer rather than making you explain the whole situation first.
